Job Description
The resource will support the Project Management Office (PMO) for the Modernized e-File (MeF) program-wide PMO. Specific duties may include, but not be limited to:
Track and manage all Change Request activity related to the MeF program
Work side-by-side with MeF managers and team leads to obtain staffing estimates by functional team
Consolidate the inputs into a prescribed template for distribution to the customer
Collect program level inputs for incorporation into the IRS Integrated Master Schedule
Assist the MeF Training Coordinator with scheduling and reporting mandatory project, company, and client training
Maintain and update the MeF staffing plan as necessary
May involve writing specific training materials
Will require coordination with, and reporting to, the customer regularly
Manage all staffing related activities including: Creation of staffing requisitions; interfacing with IBM HR/recruiting, IBM Procurement, and Subcontractor management personnel; track incoming internal and external candidates; obtain and relay feedback for all candidates in a timely manner; process all subcontractor approval requests through the appropriate IBM executive channels; manage all subcontractor related activities including; creation of purchase requisitions in BOND; reconciling subcontractor invoices against existing hours/funding in the purchase orders and ensuring that appropriate action is taken for any line items that require additional funding; facilitate the creation of PCLAIM profiles and other prerequisites in the IBM systems that are needed for onboarding subcontractor personnel

Required Technical and Professional Expertise

The candidate must have at least 5 years prior work experience in a PMO or project management role and must be able to demonstrate relevant experience using the following skills
Organization, analysis, problem solving and planning – 5 yrs
Very strong attention to detail
Mindset towards constant improvement and utilizing automation to simplify repeating processes
Strong Verbal and Written Communication skills
Excellent facilitation skills
Working knowledge of user applications such as Microsoft products (Word, Excel, Project, PowerPoint), and Outlook – 5 years
Experience with data management planning, data entry, and reporting – 5 yrs
Ability to work autonomously and with personnel with diverse backgrounds and learning styles
Must possess the ability to work under pressure to meet critical deadlines
Must be flexible in response to changing program priorities
