Role Summary: Reporting to the Marketing Project Manager you will be key part from an administrative standpoint to handle and manage invoices received from the advertising partners and publishers.The role is responsible for entering all costs in Sage, our accounting system, over a 4 steps process:
Forecasting the activity at the beginning of the month
Entering all IOs received and having them approved in Sage
Updating the forecasted activity at the end of each month
Processing all invoices, having them approved in Sage and fowrading for payment.
You will work closely with the different marketing channel managers to secure a correct invoice entry following the guidelines and will be required to independently handle the communication regarding invoices with the marketing stakeholders. You will aslo be responsible for liaising between the Marketing and Finance departments, which includes keeping up to date on all new processes and guidelines that will need to be applied.
Work closely with the marketing teams and country managers to: forecast provisional costs, enter IOs, make sure invoices are paid on time and Finance guidelines are respected.
Organise own workload throughout the month over the 4 stages of invoice entry
Prioritisation of invoices and cost processing in terms of urgency and ability to reconsider own workload organisation under unexpected circumstances.
Working with people at all levels in the company, you will need to make sure that you can adapt to their own workload and needs.
Troubleshoot and work with teams to solve any unpaid invoices, late received invoices or general payment issues.
You’re functioning as an important link between the different stakeholders and Finance. You will be the main point of contact between the different departments for payments follow up, general troubleshooting and making sure deadlines are respected.
Assuring clarity and transparency of expected work between the teams
Covering for Marketing Project Coordinator (Ad Operations) in their absence
Operational support for ad campaign set up
Setting up acquisition campaigns using various platforms
Building acquisition email templates
Ability to manage the stages of invoice processing through internal and external stakeholders
Experience in driving organizational culture that instils focus on customer satisfaction by continuously improving services, processes, systems and collaborative capabilities
Ability to seek out problems and opportunities for improvement
Approaches work objectives with a sense of urgency and passion, and a dedication to exceed performance expectations
Strong communication skills and ability to empower teams to execute deliverables
Technical skills and knowledge of online marketing

You will be a highly organised person who can work and manage own workload and different stakeholders with ease. Ability of doing multiple tasks is key, as well as to work under tight schedules and staying calm under pressure. The successful candidate will need to demonstrate great communication skills and to be able to work with people at all levels within the company.
